CoachNexus is built by a working coach, and it handles two kinds of information: yours, and your clients'. This page explains both.
When you subscribe, we collect:
If you join a waitlist or ask for updates, we collect your email address for that purpose only.
This is the part that matters most, so it gets its own section.
When you use an engine, you type in details about the person you are coaching. That can include injury history, surgical history, mobility limits, medications, sleep quality, and stress levels.
Use a label, not a name. Every engine tells you to identify clients as Client 001 or similar rather than by name. We designed it that way deliberately. If you follow it, nothing you enter identifies a real person to us.
What you type is sent to an AI provider. The engines run on OpenAI's models. Your intake text is transmitted to OpenAI to generate the plan and is subject to their data handling practices in addition to ours.
You are responsible for what you enter. Your client gave their information to you, not to us. Whether you have their permission to enter it into a third-party tool is a question about your professional relationship with them, and it is yours to answer.
Engine conversations are stored in our database so that we can provide support, investigate problems, and improve the engines. That means the intake details you type are retained, associated with your account. This is another reason to use client labels rather than real names.
You may request deletion of your stored conversations at any time through the contact form.
We do not sell, rent, or trade your personal information, and we do not share it with third parties for their marketing.
We use a small number of service providers to run the platform:

The site uses cookies necessary for the platform to work, including keeping you signed in and maintaining your cart during checkout. Your browser can block cookies, but the platform will not function correctly without the necessary ones.
We do not sell your data or run advertising trackers. There is no third-party advertising network on this site, and nothing here follows you around the internet to sell you something later.
We do use one analytics tool, and only if you agree to it. Google Analytics tells us which pages coaches actually read and where they leave. It is loaded only after you accept analytics cookies, and you can decline without losing any part of the site. If you decline, it never loads at all.
We use WooCommerce's built-in order reporting, which is first-party and stays in our own database, and Hostinger Reach for email capture and delivery.
You can ask us to show you the personal information we hold about you, correct it, or delete it. Requests go through the contact form, and we respond within three business days.
Deleting your account does not automatically delete billing records we are required to keep.
CoachNexus is a professional tool sold to fitness professionals. It is not intended for anyone under 18, and we do not knowingly collect information from anyone under 18.
If this policy changes materially, we will update the date at the top and, where the change affects how we handle your information, tell you by email.

A quick note on cookies.
We would like to use Google Analytics to see which pages coaches actually read and where they leave. It is not used for advertising, and nothing here follows you to other sites.
Decline and the site works exactly the same. Nothing gets locked or limited. We just lose the page data. You can change your mind any time.
